Booking Conditions

This booking constitutes a legally binding contract between Horizon Journeys and you. In these conditions, the term “you” and “your” means any and all persons booking this tour. The term “We”, “us” and “our” means Horizon journeys. Once you book a trip by paying 30% of the trip price as a non refundable deposit that automatically means that you have read, understood and accepted our booking terms and conditions fully which is a contract between you as a customer and us as a firm. Acceptance of your booking will be confirmed in writing to you. If you have any queries regarding our booking terms and conditions please contact us or write us a mail.

Validity

Dates, itineraries and prices are valid from 01 January 2023 until 31 December 2023.

Passenger Details

In order for us to confirm your travel arrangements you must provide necessary details at the time of booking which include;

  • Full name (as per passport)
  • Passport number, issue date and expiry date.
  • Date of birth
  • Address and Contact Phone Number
  • Nationality
  • Next of Kin and any Medical Condition

You are required to provide details of your next of kin and any pre-existing medical conditions which may affect your ability to complete your travel arrangements. If you have any doubts please consult your local doctor before booking your trip. If you are over 70 years of age we require medical clearance from your local doctor. Your booking cannot be confirmed without provision of these details.

Passenger Cancellations

A passenger’s cancellation will only be accepted formally in writing. If it is necessary to cancel your holiday, money will be refunded less a cancellation fee per person as follows.

  • Before 2 months: Loss of Deposit which is 30% of the total trip cost
  • Between 2 months and 6 weeks: 50% of total booking cost
  • Less than 6 weeks: 100% of trip cost

You are strongly advised to take out cancellation insurance at the time of booking, which will cover cancellation penalties in certain circumstances. On rare occasions passengers who have not proved physically suitable for a trip or leave for any reason after it has commenced and before its completion, we are not obliged to make any refunds for unused services.

Horizon Journeys Travel Cancellations

Horizon Journeys may cancel a trip at any time up to 60 days before departure if, due to terrorism, natural disasters, political instability or other external events it is not viable to operate the planned itinerary.

If we cancel a trip you may choose between:

  • Applying the amounts paid toward an alternative trip or
  • Receiving a full refund. Horizon Journeys is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations or non-refundable flights etc.

Inclusions

The land price of your trip includes:

  • All accommodation as listed in the Trip Dossier
  • All transport listed in the Trip Dossier
  • Sightseeing and meals as listed in the Trip Dossier
  • The services of a Group Leader and Local Guide as described in the Trip Dossier.

Exclusions

The land price of your trip does not include:

  • International flights
  • Internal flights, unless specified in the Trip Dossier
  • Tipping Kitty, unless specified in the Trip Notes
  • Airport transfers, unless specified at the time of booking
  • Airport Taxes and excess baggage charges
  • Meals other than those specified in the Trip Notes
  • Visa and passport fees
  • Travel insurance
  • Optional activities and sightseeing and all personal expenses.

Tipping

There are several times during the trip where there is an opportunity to tip the local guides/porters/drivers we use. You may do this individually, or you can collect a tipping kitty on behalf of the group.

Passenger Age Requirements

If you are 70 years of age or over we will require a medical clearance from your local doctor.
Passengers under the age of 18 must be accompanied by an adult who is responsible for the child’s day to day care; minimum age for children is 8 years old.

Multiple and Single Supplement Accommodation

Please note that we cannot guarantee triple or joining rooms. Passengers without a single supplement booked will may be required to share with others in the group on a twin share basis.

Passport and Visas

Passengers must carry a valid passport and have obtained all of the appropriate visas, permits and certificates including photocopies of these items with two passport photos prior to travelling with Horizon Journeys. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the authentic and correct visas, permits and certificates for your trip; please refer to your local Travel Advisory Board or Embassy for further information. If you do not have the appropriate documentation you may be refused entry to India.

Travel Insurance

Travel insurance is compulsory for all Horizon Journeys passengers. At a minimum your travel insurance must provide cover against personal accident, death, medical expenses, emergency repatriation and personal liability.

Passengers must provide proof of travel insurance on Day 1 (Group Meeting) of your planned itinerary. If you do not have evidence of travel insurance you will not be able to join the trip.

Trip Style and Design

You appreciate and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.

Change of Itinerary

Horizon Journeys Endeavour to operate all trips as described, we reserve the right to change the trip itinerary.

Before Departure:

If changes occur to the itinerary you will be informed as soon as reasonably possible.

After Departure:

We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights.

Code of Conduct

If a passenger fails to comply with a decision made by a Tour Guide, or interfere with the well-being of the group, the Tour Guide may order you to leave the trip immediately, with no right of refund. Passengers must at all times comply with the laws, customs and drug regulations and agree to travel in accordance with our Responsible Travel Guidelines.

Acceptance of Risk

Passengers acknowledge that the nature of the trip, country location and participation involves a degree of personal risk. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in daily lives.

Horizon Journeys use information from Government Foreign Departments and reports from our own contacts in assessing whether the itinerary should operate. Passengers must also acquaint themselves with relevant travel information, the nature of the itinerary and accept personal risks upon such travel.

On guided tours your Tour Guide will accompany you on all included activities. Horizon Journeys and the Tour Guide have the authority to amend or cancel any part of the trip itinerary if it is deemed necessary due to safety concerns.

Authority on Trip

Guided trips are managed by a Horizon Journeys Tour Guides. The decision of the Tour Guide is final on all matters likely to affect the safety or well-being of any person participating in the trip. On non guided tours the final decision will be taken by Horizon Journeys management considering the safety of the trip members.

Limitation of Liability

Horizon Journeys with a network of companies and individuals assist us with our trips. We are not responsible for the acts and omissions of these third parties.

To the fullest extent permitted by law:

  • Any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in a trip, or any breach of the “Booking Terms and Conditions”, is excluded;
  • You release us and our officers, employees, agents and representatives from any liability and explicitly waive any claims you may have against us arising out of or in connection with your participation in a trip.
  • Any claim by you is excluded to the extent that it is for indirect or consequential loss, loss of profits or economic loss, however it arises, or for indirect, special, punitive or exemplary damages.

Errors and Omissions

Horizon Journeys has made a concerted attempt to verify the accuracy of statements made in our trip dossiers including brochures and company website. Horizon Journeys cannot be held responsible for any error, omission or unintentional misrepresentation that may occur.

Claims and Complaints

If you have a complaint about your trip please inform your Tour Guide or Horizon Journeys management in order that they can address and attempt to rectify the matter.

Consumer Protection

All money received as payment for your group travel is immediately deposited into the registered company account of Horizon Journeys. The company account is bound by regulation and independently audited.

Privacy Policy

Any personal information that we collect about you may be disclosed to our agents, service providers or other suppliers to enable us to operate the Trip. We will otherwise treat your details in accordance with our privacy policy.

Applicable Law

All information contained in it and all matters which arise between you and us will be governed by Indian law. Access is further conditional on your agreement that any dispute or matter which arises between you and us will be dealt with by the Indian Courts only to the exclusion of the Courts of any other country.

Updating of Booking terms and conditions

Horizon Journeys reserves the right to update and/or alter these terms and conditions at anytime, and it is the Clients responsibility to be familiar with them. The latest booking terms and conditions can always be found on the Company website www.horizonjourneys.com and will supersede any previous versions.
